Do I have to submit an abstract?
Submitting an abstract for a conference is optional.

Can I register now and submit my abstract later?
Yes, a participant can register at any time before the registration deadline. The abstract should be submitted before the abstract submission deadline.

Can I submit more than one abstract?
The default rule is one abstract per participant is allowed. An extra abstract can be considered when acceptable by the conference committee. Extra fees to be paid would be involved.

Have I been selected to give a short talk?
You will be notified few weeks before the conference if you are selected for a short talk or poster presentation.

Can I replace, edit or revise the abstract I submitted with my application?
Once an abstract has been submitted and reviewed, you can request us to update it with another version with minor changes/corrections. You need to contact us if you want to replace the abstract with a different one (with a different subject) and we will guide you.

How can I withdraw my abstract?
You should contact SETCOR directly to withdraw your abstract.

What does the registration fee include?
The Conference registration fee includes: access to conference (and exhibition if it is the case) rooms, catering (coffee breaks and lunch, if included in the Conference), documentation (Conference bag, conference handbook, access to documentation, including the online book abstract and publishable presentations), access to the networking and matchmaking service.

When am I required to pay the registration fee?
Payment is due before the conference registration deadline. Please note that you cannot submit conference papers before the conference registration.

What forms of payment are accepted?
We accept credit cards Visa and MasterCard. Also, we accept payment by Bank Transfer.

Can I register on-site at a conference?
It’s possible but this will be reviewed case by case as no poster/short presentation will be scheduled if we cannot be sure of the presence of the abstract submitter in the conference.

I am an invited speaker/session chair, do I need to register?
Yes, everyone who will be attending a conference needs to register.

I am an invited speaker/session chair, do I have to pay the full registration fee?
Yes, speakers must pay for all of their own expenses (full registration and travel) prior to the start of the conference.

I am an invited speaker/session chair, do I have to submit an abstract?
Yes, all invited speakers are required to submit an abstract of their talk.

What is the cancellation policy?
Cancellations that are received at least 60 days prior to the start of the conference will receive a refund minus a €220 processing fee. There will be no refunds issued if cancellations are received within 60 days prior to conference date. Refund to be done is the original payment mode and currency.

How do I cancel my registration?
To cancel your conference registration, you need to contact SETCOR team directly and you will be required to complete a cancellation notification form and email it to us.

I cannot attend the conference, can I send someone in my place?
No, we do not allow substitutions for another participant if you are not able to attend. If you are not able to attend and want to be substituted by another person, you need to contact SETCOR team directly to notify us and do the required changes for the substitution.

Can I submit my abstract after the deadline date?
Yes, as long as spaces are still available.

How can I get a letter of invitation?
After registration, a default invitation letter will be generated, sent by Email to the participant and saved under the participant account under our website. If the user requires a more detailed letter, he/she should contact us by Email at info_at_setcor.org.

What should I do if I am registered for a conference and not able to receive a visa in time to attend the conference?
Should issues arise during the visa process and you are concerned that you may not receive your visa in time for the conference; contact us by Email at info_at_setcor.org immediately. If you are not able to attend the conference due to visa issues, we will issue a refund less the €200 cancellation processing fee as long as the SETCOR team has been made aware of the circumstance two months ahead of the conference dates.  We will not refund the attendee if the attendee notifies us within less than two months of the conference.

Can my guest receive a letter of invitation?
By default, SETCOR issues the letter of invitation to the person that has registered to attend the conference. If a guest invitation letter is required, the registered participant should contact us to request the letter.

In what currency I will be billed?
Customers will be billed in the conference currency (EURO or US$).

What is the time zone of the website?
The time zone of the website is UTC + 01.

Where is the SETCOR team based?
Our team is based in Paris and we have a support office in Dubai.
